The discount is valid on ALL main conference registration types (member, nonmember, student, early career professional, emeritus, one-day) for all registrants employed by the same company. Note: discounts are not applied to PDC registrations. All group participants must be registered and paid in full by Friday, May 9, 5:00 p.m. ET. Individual registrant rates vary based on member status with AIHA at the date of registration.

Each registrant may ALSO save up to an additional $200 by using the STAY AND SAVE discount available to registrants booking a hotel room in the AIHA Connect contracted block!
Group Coordinators: If the number of registrants is less than the minimum required for each discount level (or if cancellations lower the overall number), each registrant will be billed the difference between the discount already paid and the next lower discount level fee.

General Information
You must be an individual member of AIHA in order to pay the member rate for AIHA Connect 2025. Students who meet membership criteria must join AIHA first to receive the student rate for Connect. Your membership must be current before you may receive the member registration fee. Join or renew your AIHA membership.
Registration for exhibit space in the Expo is a SEPARATE registration and requires additional fees in order to participate.
Registrations require payment in full at the time of registration. Registrations received without payment are considered incomplete and cannot be processed. Individuals will not be considered registered for AIHA Connect until the issue is resolved. Full payment is required before materials may be picked up on-site and/or credentials will be recognized in the mobile app or virtual platform.
Credit card payments: Registration fees will be charged immediately to the card provided, which must have an expiration date of May 2025 or later. A valid credit card is also required to guarantee a hotel room. Two different cards may be used – one to register and one to confirm the hotel reservation.
Purchase Orders (POs): POs do not constitute payment for AIHA Connect. Attendees who submit POs will be issued a balance-due invoice upon receipt of the PO. The invoice must be paid in full by 11:59 p.m. ET on March 16, 2025 or the higher standard registration fees will apply. Full payment is required before materials may be picked up on-site and/or credentials will be recognized in the mobile app or virtual platform.
AIHA Connect 2025 is pleased to offer a STAY AND SAVE registration discount. Connect registration will be discounted $200 for attendees booking housing in the official Connect housing block. The deadline to book a hotel reservation is Wednesday, April 30. After this date, discounted registration rates no longer apply. If attendees book housing in the official AIHA Connect housing block and later cancel their reservation, the additional $200 USD registration fee will be automatically charged.
Attendees who live within 30 miles of the Kansas City Convention Center and plan to commute to AIHA Connect are exempt from the increased registration fee.
Once your registration has been processed, you will receive a confirmation via email (check your spam folder as the confirmation may have been tagged as spam by your email provider). If a confirmation is not received, contact AIHA Connect customer service at 864-208-3388 or connect@maritz.com.
Attendees will receive in late April/early May final instructions about picking up badge materials and logging into the mobile app/virtual platform.
While AIHA Connect is not currently implementing health and safety protocols, In-person participants agree to abide by any protocols required of AIHA/AIHA Connect by national, state, or local rules or regulations. If guests are unable or unwilling to abide by these requirements, we will be happy to register you for Virtual Connect.
Registration Terms and Policies
All participants at AIHA Connect 2025 must be officially registered and display the official conference badge credentials at all times to be admitted to conference functions. Badges are non-transferable.
I acknowledge that I will be participating in AIHA Connect 2025 events and activities of my own free will and intention, and I am fully aware that possible physical injury to me or damage to my property might occur because of my travel to, participation in, and travel from these events and activities. By registering for this conference, for myself, my estate, and my heirs, I hereby release and discharge and agree to indemnify and forever hold harmless AIHA and its members, managers, officers, directors, agents, volunteers, representatives, and employees, from any and all causes of action and damage arising from or relating to my participation in AIHA Connect, and any travel associated therewith, except to the extent caused solely by AIHA's gross negligence or intentional misconduct. I also agree not to allow any other individual to participate in my place (unless I notify AIHA of the need for a substitution for my conference registration in advance and such individual executes the registration form and any required agreements and releases, including, but not limited to, this release).
I understand that, while AIHA has undertaken reasonable steps to lessen the risk of transmission of COVID-19 in connection with AIHA Connect, AIHA cannot guarantee that I will not become exposed to or infected with COVID-19. Further, because of the number of individuals involved in AIHA Connect and the fact that many infected individuals appear to be asymptomatic, attending this Event could increase my risk of being exposed to and/or contracting COVID-19. Furthermore, I will alert AIHA immediately if, within fourteen (14) days of AIHA Connect 2025, I fall into any of the following categories:
- Individuals who currently or within the past ten (10) days have experienced any symptoms associated with COVID-19, which include fever, cough, and shortness of breath among others; or
- Individuals who believe that they may have been exposed to a confirmed or suspected case of COVID-19 or have been diagnosed with COVID-19 within the last ten (10) days and are not yet cleared as non-contagious by state or local public health authorities or the health care team responsible for their treatment.
I voluntarily agree to assume all of the foregoing risks and accept sole responsibility for any consequence, including, but not limited to, personal injury, disability, and death, illness, damage, loss, claim, liability, or expense, of any kind, I may experience or incur in connection with traveling to or from, or attending or participating in AIHA Connect. I acknowledge and understand that I should not attend or participate in the Event unless I am medically able.
I voluntarily agree to comply with all safety requirements set forth by AIHA. My failure to comply with such safety requirements may result in loss of right to participate at or attend the Event, including, but not limited to, safe social/physical distancing and clean hygiene during the Event. I understand that refusal to adhere to these policies and requirements and abide by the precautions may result in denial of my entry to or immediate removal from AIHA Connect and cancellation of my registration, without receiving a refund, and that I will solely be liable for any damages and losses I may incur as a result therefrom, including, but not limited to, loss of conference fee and travel expenses.
AIHA will build a photo, quote, and video library of AIHA Connect 2025 that AIHA may use for its internal and external purposes. By participating in Connect, you grant AIHA the right to use your photograph for such purposes. If we interview you, and film and record your words, AIHA will seek your express permission. All photographs, recordings, and quotes shall become the property of AIHA and may be displayed, distributed, or used by AIHA for any such purpose, and in any media, whether print, electronic, or on the AIHA or AIHA Connect websites, and without payment of any royalty to you.
AIHA uses a variety of tracking technologies to better understand how attendees spend time at the conference and associated activities, including use of a variety of technologies to track session and keynote attendance, as well as general activity at the Event. These technologies may be embedded in the Event badge or may utilize generalized approaches not requiring specific badge information. Data collected may be shared with attendees and/or exhibitors in aggregate; personal information is not shared. I acknowledge that by attending a sponsored event, my personal information may be shared with the sponsoring organization.
I agree not to record, copy, or take screen shots of Q&A or any chat room activities taking place in the Virtual Connect environment.
AIHA Connect is a professional conference. AIHA reserves the right to take any action deemed necessary and appropriate, including immediate removal from the conference without warning or refund, in response to any incident of unacceptable behavior, and AIHA reserves the right to prohibit attendance at any future meeting. Examples of unacceptable behavior include, but are not limited to:
- Harassment, intimidation, or discrimination in any form
- Physical or verbal abuse of any attendee, speaker, volunteer, exhibitors, AIHA staff member, service provider, or other meeting guest
- Verbal comments related to gender, sexual orientation, disability, physical appearance, body size, race, religion, national origin, inappropriate use of nudity and/or sexual images in public spaces or in presentations, or threatening or stalking any attendee, speaker, volunteer, exhibitor, AIHA staff member, service provider, or other meeting guest
- Disruption of presentations at session, in the exhibit hall, or at other events organized by AIHA at the meeting venue, hotels, or other AIHA-contracted facilities
AIHA has zero-tolerance for any form of discrimination or harassment, including, but not limited to, sexual harassment by participants or staff at conferences. If you experience harassment or hear of any incidents of unacceptable behavior, AIHA asks that you inform Larry Sloan, CEO or Franky Spangler, Managing Director, Operations or 703-849-8888 so we can take the appropriate action. Requests for cancellations, refunds, transfers in registration type, and substitutions must be submitted in writing to AIHA Connect 2025. Phone calls will not be accepted.
Cancellations/Refund Requests
AIHA Connect Full Conference (in-person and virtual) refunds are subject to a $150 USD processing fee. One-Day (in-person and virtual) and all PDCs (in-person and virtual) are subject to a $75 USD processing fee each. Student refunds (in-person and virtual) are subject to a $25 USD processing fee. Technical tours are subject to a $10 USD processing fee.
- To receive a full refund (less processing fees), cancellations must be received on or before April 12, 2025 (5:00 p.m. ET).
- A 50 percent refund (less processing fees) will be processed if request is received between April 13 and April 30, 2025.
- No refunds will be processed for requests received on or after May 1, 2025 or for no shows.
AIHF Pin, Fun Run/Walk registrations, and donations are non-refundable.
Refunds will be issued approximately 2 weeks post-conference.
Transfer of Registration Type
We understand your ability to attend Connect 2025 in-person or virtually may change after you register, so we have designed a flexible registration system to allow a switch from an in-person registration to a virtual one or vice versa. To switch your registration type, submit your request in writing via email. Note: Switching from in-person to virtual participation may require a change in your choice of PDCs or other activities, while switching from virtual to in-person will require selection of a hotel in the contracted block to receive the Stay and Save discount to maintain the rates paid.
Substitutions
Substitution of a registered AIHA Connect attendee by a business colleague will be accepted. A $50 processing fee will apply to all substitutions if notified in writing via email by April 30, 2025 (5:00 p.m. ET). The new registrant must be named in the written notification and must register before the original registrant is refunded. If the original registrant was registered as a member, the new registrant must also be a member or join membership upon registering or pay the balance due for a nonmember registration.
Beginning May 1, 2025, no substitutions will be allowed, and all requests will be treated as full cancellation or the original registration subject to the cancellation processing fees above. The new registrant must register as a new attendee to complete the registration and housing.
You must be an individual member of AIHA with 2025 individual member dues fully paid to qualify for member registration rates. If you have not yet renewed or joined, please do so before beginning your AIHA Connect registration.
Special Accommodations
AIHA Connect 2025, the Kansas City Convention Center (KCCC), and all AIHA Connect contracted hotels abide by the regulations of the Americans With Disabilities Act (ADA).
When you register for AIHA Connect, the profile page of your registration form includes a question titled "Special Accommodations" about accessibility at the event or the hotel (auditory, mobility, and/or visual). AIHA will follow-up with any attendee who answers “yes” to this question. Additionally, PDC registrants are asked to provide dietary restrictions/allergies when prompted during the selection of PDCs. AIHA may follow-up with any attendee who selects a dietary restriction/allergy for which the facility may need additional guidance.
Additionally, we have the following accommodations, among others, in place:
- The event locations AIHA selects are ADA compliant.
- Doors to all meetings will be propped open before sessions start and once they end.
- Staff, volunteers, and temporary workers are instructed to be on the lookout for attendees who may need assistance.
- Attendees will have access to a nursing mother lounge/lactation room.
- The KCCC has wheelchairs that are available on a first come/first serve basis and cannot be reserved prior to arrival. Wheelchairs can be checked out at the Event Services Office on Level 1 of the Convention Center. There is no charge to borrow a wheelchair; however, a driver’s license is required and will be held until the wheelchair is returned.
- AIHA can assist in arranging auxiliary aids for the visually and hearing impaired. Should you require use of these services, contact Brynn Bradbury.

Whenever possible, arrangements will be made for those with dietary restrictions or allergies provided AIHA Connect has received prior notice. Indicate your requirements when you register, and we will contact you to further discuss details. Unfortunately, we are unable to honor requests made on or after Monday, May 12.
For those requesting special meals during registration, your badge will include an icon representing the type of meal you will receive. Simply show your badge at the meal function indicated, and you will be given your special meal.
International Delegates
Although English is the official language of AIHA Connect, online registration and hotel reservations are available in several languages.
AIHA can provide documents to assist in obtaining permission to attend the conference; however, AIHA cannot intervene with any government agency on behalf of a participant:
- Official Letter of Invitation: AIHA can write official letters of invitation to participate in AIHA Connect 2025. This letter may NOT be used with your Visa application. Email AIHA to request a letter of invitation.
- Official Letter of Registration for Visa Applications: Once you have registered for AIHA Connect 2025, you can request an official Letter of Registration for Visa Applications. You may print and submit this letter with your Visa application to verify the name, dates, location, and purpose of AIHA Connect 2025. Letters of Registration for Visa Applications will not be made available to anyone who has not registered and paid in full for the conference. There are no exceptions to this policy. See below for registration refunds due to Visa denials.
- Visas: Review information on applying for a Visitor Business (B-1) visa to the United States.
Visa processing may require a long lead time. We highly recommend you apply for a Visa three (3) to four (4) months in advance of the conference. If your Visa is denied and you would like to be considered for a registration refund, make sure you have an official denial document or a stamped copy of your application form with the date of application and date of denial. Email copies of these documents with your refund request.
