All empty crates will be removed by 5:00 p.m. on Sunday, May 18 to allow for the laying of aisle carpet and completion of the exhibit hall.
STORAGE NOTICE: Fire regulations prohibit storing products, literature, empty packing containers, or packing materials behind back drapes or under draped tables. Exhibitors may store a limited supply of literature or product appropriately within the booth area, as long as these items do not impede access to utility services, create a safety problem, or look unsightly.
No one under the age of 16 will be admitted in the exhibit hall during published Move-in, Show, or Move-out hours. No exceptions.
MOVE-IN NOTICE: Any booth not occupied by 3:00 p.m. on Sunday, May 18 will be considered abandoned (unless show management has been otherwise notified) and will be forfeited by the exhibitor, and such space may be carpeted into a lounge, resold to a company on the waitlist (if applicable), or otherwise assigned by AIHA, without any refund of any payment to the exhibitor by AIHA. If there is a display in the booth and Shepard must set it up or “force the carpet,” the exhibitor will be responsible for the cost incurred by show management.
Dismantle and Move-out Hours*

*Empty crates and cartons will be returned after all aisle carpet is rolled up and collected.
**Overtime charges will apply for move-out after 5:00 p.m. on Wednesday.
DISMANTLE NOTICE: No exhibits or displays can be dismantled before the close of the show on Wednesday, May 21 at 1:00 p.m. Exhibitors dismantling booths before 1:00 p.m. forfeit ALL priority points accumulated for the next selection year.*
*If the exhibitor has already pre-selected space for AIHA Connect 2026, the 2026 booth will be released and re-sold to another company. The exhibitor can then select a new location when space opens for general sale in September 2025.

Exhibitors receive the following complimentary badges with their booth, based on booth size:
Exhibitor Full Conference Badges
- Two (2) for a 10’ x 10’ booth
- Three (3) for a 10’ x 20’ booth
- Four (4) for 300+ square feet
Additional Full Conference Badges are at prevailing rates and eligible for the Stay and Save Discount.
Exhibit Only – Booth Personnel Badges
- Three (3) per 10’ x 10’ booth (100 square feet)
Ex: Three (3) for a 10’ x 10’, Six (6) for a 10’ x 20’, Twelve (12) for a 20’ x 20’
Additional Exhibit Only – Booth Personnel Badges are $200 per badge but are eligible for the Stay and Save Discount of $100 per badge*
*Exhibit Only – Booth Personnel Badges above the booth allotment will be discounted $100 for exhibit staff who book housing in the official AIHA Connect housing block. If the exhibit staff books housing in the official AIHA Connect housing block and later cancels their reservation, the additional $100 registration fee will be automatically charged.
Exhibit staff who live within 30 miles of the convention center and plan to commute to AIHA Connect are exempt from the increased registration fee.
NOTICE: All Exhibit Only – Booth Personnel above the allotment, who register on-site, will be charged $200 per badge.
Badge registration and housing (hotel rooms) are linked together. In other words, one must be registered to secure a hotel room.

What is the Expo Guest Pass program?
The Expo Guest Pass Program ensures your customers and prospects can visit the exhibit hall —as your guest—for free! This is an excellent way for you to provide a personalized benefit to customers, increase your visibility, and strengthen your relationship with them at AIHA Connect 2025.
NOTE: This is NOT where you register your booth staff.
What do my guests have access to?
Each Expo Guest Pass will receive free admission to the exhibit floor ONLY. Expo dates and times can be viewed at www.aihaconnect.org. The Expo Guest Pass does not cover sessions or social events outside the exhibit hall.
NOTE: Any Expo Guest Pass registrant seen attending activities outside of the exhibit hall will be asked to visit registration and upgrade their badge at prevailing on-site rates.
Who is considered a guest?
Guests are your customers or prospects. Guest passes are not intended for employees of your company or anyone working in your booth. Any exhibitor employee or booth personnel trying to register with the Expo Guest Pass will be denied and charged prevailing on-site exhibitor registration rates.
How many Expo Guest Passes are given to exhibitors?
Every exhibitor is allotted five (5) complimentary Expo Guest Passes.
Expo Guest Pass Instructions
Your guests must register themselves by using the URL found on your Exhibitor Registration Dashboard. After five uses, the URL will no longer be valid.
After clicking on the URL, the Expo guest will go through the registration process including logging in with their AIHA credentials or creating a profile.
Exhibitors are not permitted to collect Expo Guest Passes. The Expo Guest must pick up their own badge on-site and follow all AIHA Connect protocols outlined during the registration process.

Be cautious if dealing with any housing companies or services that imply or claim an affiliation with AIHA Connect other than Maritz, the official AIHA Connect housing company. Unauthorized travel companies are often illegitimate, and most do not deliver as promised. Reservations made through an agency other than Maritz will be at your own risk.
